The loan update nobody sends until you ask
It's Thursday and you still don't know if the loan's approved. You texted the broker Tuesday. They replied Wednesday: "still waiting on the bank, will let you know." You already knew that — it's what they said last week too. Your client asks you Thursday morning, because you're the only person in this deal they can actually reach, and you don't have an answer either.
Same deal, two more chases just like it
The solicitor's not being difficult when they take three days to reply about the special condition — they're waiting on you to send the version you meant to send, the one that isn't three inboxes deep in old messages. The building & pest inspector isn't ignoring you either; the email asking about site access is sitting under six other things in an inbox that isn't yours. Nobody in this chain is actually slow. They're just waiting on a message that hasn't been sent, or answering a question they've already answered once.

What all this chasing costs you
Every one of these chases needs you standing in the middle of it. You ask the broker, wait, then tell the client. You ask the solicitor, wait, then tell the client. You're not adding anything at any point in that chain — you're the relay, and the relay adds a day each time.
And when a client asks why the loan's taking so long, "I'll check and get back to you" is not the answer that makes you look like the person actually running this deal.
What changes — they update it, you don't extract it
In Trace's deal room, your broker gets their own lane on the deal — no login, just a link — with a status they set themselves: Pre-approval, Formal approval, Conditions outstanding, or Declined. When it moves, it's already moved on your side. You're not asking; you're just looking. The solicitor and the building & pest inspector work the same way in their own lanes, seeing only what's theirs and reporting only what they know. Nobody's forwarding anything to anybody.
A CRM's activity log would tell you a call happened. It wouldn't tell you the loan's still pending. What a CRM does and doesn't do on a deal.
