The risk that left when the agent did
In 2022 someone at your agency read a building report on a block in the inner north and flagged a remediation problem heading for a special levy. The client walked. Good call, well made.
That agent left in 2024. In 2026 a new client asks you about a unit in the same building.
You already solved this. You just don't remember it.
Where the finding actually went
It was in a building report, in an inbox that has since been deactivated. It was mentioned on a call. It was written in a note nobody re-read. And a written note nobody re-reads is functionally the same as no note.
A written note nobody re-reads is the same as no note.
The knowledge didn't leave because anyone was careless. It left because it was stored as a person rather than as a record.
Findings belong to the agency
In Trace a confirmed finding is structured, dated, attached to the property, and attributed to whoever confirmed it. When that person leaves, the finding doesn't. Removed members stay visible on past findings and activity as a permanent audit record: you can see who found what, years after they stopped working there.
That's a small design decision with a large consequence. The alternative, scrubbing a departed employee's name from the record, makes the record less useful precisely when you need it most, which is when nobody left can remember the deal.
The compounding part
Ten deals in, your agency's own history is thin. Two hundred deals in, it's the reason a client hires you over the agency down the road, because you know things about specific buildings that cannot be looked up. That asset only exists if it was recorded as it happened. You can't backfill it later from memory.
Same logic as your Playbook: the checks your firm has learned to run are worth more the longer you keep them, and only if they outlive the person who wrote them.
We're building this with a small first group of buyer's agents. If you've ever re-done work your own firm had already done, we'd like to talk to you.
